# How to import your spreadsheet

Upload the spreadsheet you already keep your costs in. Prophitable matches its columns to the right fields, shows you everything it found, and imports nothing until you click Import.

## Import a spreadsheet

1. Go to **Ingredients**, **Materials**, **Recipes**, **Packages** or **Products** and click **Import**. It doesn't matter which page you start from. Everything in the file lands on its own page.
2. Drag your file into the box, or click it to pick one. It takes **.xlsx**, **.xls** and **.csv**, in your own layout. You don't need a template.
3. Click **Next**. If the file has more than five tabs, they all start ticked, so untick the ones you don't need and click **Read**. The button counts the tabs.
4. Check the preview. Each tab gets its own section:
   - **Column mapping** pairs each column **From your spreadsheet** with a field **In Prophitable**. If one is wrong, pick the right field, or **Don't import** to leave the column out.
   - Click **Skip** on any row you don't want. **Undo** brings it back.
   - The supplier line says how many new suppliers it will create. A name close to one you already have ("Whle Foods") starts out linked to that supplier, so a typo doesn't make a second one. Change it if the match is wrong.
   - If it misread something, click **Something look wrong? Tell us and re-read**, write what it got wrong ("the second column is the case price") and it reads the file again. Any skips or column changes you made start over.
5. Click **Import**. The button counts the items that will come in.

## What you'll see

A summary of what was created, and a list of anything still missing. The usual ones:

- A recipe line with no amount on the sheet comes in blank. Open the flagged recipe or package and fill it in.
- An ingredient with no shelf life gets 7 days as a placeholder. Change it to the real one.
- A product still needs its packaging, and the Products list flags it until you add one.
- An ingredient a recipe uses that wasn't in Prophitable yet comes in at $0. Add its price on the Ingredients page.

From there, finish each one the same way as if you'd added it by hand. The rest of this section walks through each page.

Using the Prophitable CSV template? Start from **Ingredients** or **Materials** and use the link under the upload box. Moving from ReciPal? Start from **Recipes**, where the link imports a ReciPal export.

> [!TIP]
> If you've been costing in a spreadsheet, your prices and recipes are already written down. Importing it means you start from those numbers instead of typing them in again, one item at a time.
